How to Avoid the Spam Folder and Improve Deliverability

You’ve spent hours crafting the perfect email with a catchy headline, stunning design, and valuable content, only to find out it landed in your customers’ spam folders. Ouch.

For small business owners, email remains one of the most powerful ways to connect with customers, nurture relationships, and drive sales. But if your messages aren’t even reaching inboxes, your hard work goes unnoticed.

The good news? Avoiding the spam folder isn’t a guessing game. With a solid email strategy, the right email tools, and a few smart habits, you can make sure your campaigns reach your audience and perform better every time.

Let’s look at seven proven strategies to keep your emails out of spam and front and center where they belong.

1. Optimize subject lines and avoid spam trigger words.
2. Segment lists to ensure relevance and personalization.
3. Use templates and email designs that follow best practices for deliverability.
4. Test emails before sending to avoid blacklisting.
5. Comply with anti-spam regulations.
6. Scrub your email list for invalid addresses.
7. Track performance to identify and fix low-performing campaigns.

1. Optimize subject lines and avoid spam trigger words.

Subject lines are your first impression, and often the deciding factor in whether your email gets opened or ignored. But they’re also the first thing spam filters scan. Words like “FREE,” “LIMITED TIME,” “ACT NOW,” or “GUARANTEED” might seem like great attention-grabbers, but they’re also red flags that can land your message in the junk folder.

Keep subject lines short, relevant, and conversational. A/B test your phrasing to see which resonates most with your audience. Try adding personalization (“Hey Jamie, ready for your next service?”) or a touch of curiosity (“A quick update before Friday’s appointment”).

Thryv’s built-in email templates and testing tools make it easy to write subject lines that follow best practices for deliverability and engagement.

2. Segment lists to ensure relevance and personalization.

Spam filters (and your customers) both love relevant emails. Sending every message to your entire list, regardless of interest or history, can quickly lead to low engagement and unsubscribes.

List segmentation helps you send more targeted and valuable content. For example:

• Offer special discounts only to repeat customers.
• Send reminders or tips based on past appointments or purchases.
• Share updates tailored to specific services or locations.

Segmentation doesn’t just improve open rates; it builds trust and keeps your brand top of mind.

With Thryv’s CRM, you can easily tag, organize, and segment customers, ensuring your email strategy hits the right inbox at the right time.

3. Use templates and email designs that follow best practices for deliverability.

Email design matters more than many realize. Too many images, inconsistent formatting, or broken links can all trigger spam filters. Additionally, a messy layout can compromise readability and professionalism.

Follow these email optimization basics:

• Maintain a balanced image-to-text ratio (approximately 40% images, 60% text).
• Include alt text for all images.
• Always use a recognizable “from” name and address.
• Make your unsubscribe link visible and functional.

Thryv’s email templates are already optimized for these deliverability best practices, saving you time while ensuring your emails look professional across all devices.

4. Test emails before sending to avoid blacklisting.

Sending a campaign without testing it first is like launching a product without verifying its functionality. Even a single broken link or missing unsubscribe option can damage your sender reputation, or worse, get your domain blacklisted.

Before hitting send, always:

• Send test emails to yourself and teammates.
• Check formatting on mobile and desktop.
• Run your message through spam-checking tools to flag potential issues.

Email testing ensures your campaigns are polished, compliant, and engaging. Thryv makes it simple to preview and test emails, helping you catch issues early and maintain a spotless sender reputation.

5. Comply with anti-spam regulations.

Every business, whether big or small, must comply with email marketing laws such as CAN-SPAM (U.S.), CASL (Canada), or GDPR (EU). Violating these isn’t just bad for your reputation; it can lead to real fines and penalties.

To stay compliant:

• Always include your physical business address.
• Provide a clear unsubscribe link in every message.
• Avoid deceptive headers or subject lines.
• Only email those who’ve opted in.

Compliance builds trust and credibility with your audience — two qualities that spam filters also value. Thryv’s email tools help ensure your business follows these anti-spam regulations automatically, so you can focus on crafting great content instead of worrying about legal fine print.

6. Scrub your email list for invalid addresses.

Over time, your email list can become cluttered with invalid or inactive addresses, including those of people who no longer use the email, mistyped sign-ups, or even spam traps. Sending messages to these addresses increases bounce rates and tells providers your emails aren’t trustworthy.

Make list hygiene a regular habit:

• Remove contacts with repeated bounces.
• Reconfirm inactive subscribers after 6-12 months.
• Use double opt-in forms to ensure valid sign-ups.

A smaller, cleaner list almost always performs better than a large, outdated one. Thryv makes it easy to manage and clean your contact lists, ensuring that your efforts go toward engaged, active customers, not empty inboxes.

7. Track performance to identify and fix low-performing campaigns.

If you’re not tracking results, you’re guessing, and guesswork doesn’t improve deliverability. Regularly monitor open rates, click-throughs, and unsubscribes to see what’s working (and what’s not). If specific campaigns consistently perform poorly, review them for potential red flags, such as poor subject lines, formatting errors, or an audience mismatch.

Thryv’s real-time tracking tools make this simple. You can see exactly which emails resonate and which need improvement, then optimize your next send with confidence. This kind of data-driven refinement turns a one-off email blast into a long-term growth strategy.

Avoiding the spam folder isn’t just about technical tweaks. It’s about respecting your audience, delivering genuine value, and maintaining consistency. When you combine thoughtful content with proven email optimization strategies, you build a reputation that both inboxes and customers trust.

With Thryv’s all-in-one email tools, small businesses get the same deliverability power as enterprise brands, without the complexity. From built-in compliance checks to real-time analytics, Thryv helps you:
